1. Who this policy applies to
This Privacy Policy applies to personal information collected by Legal AI Archive Limited (we, us, our) through LegalAIArchive.com, by email, or through any related contact or intake process.
Personal information means information about an identifiable individual. Information about a company, product or organisation is not usually personal information unless it is also about an identifiable individual, such as a sole trader, employee, representative or contact person.
2. What we collect
We collect a limited amount of personal information. This may include your name, work email address, role, organisation, phone number, correspondence with us, information included in a tool suggestion or correction request, information supplied for vendor confirmation, billing or administrative contact details for paid listings, and limited payment-related information described below.
We do not currently operate user accounts, logins, user dashboards, public forums, or a marketing newsletter. We do not ask for personal information that is not reasonably needed for our directory, editorial, administrative or commercial purposes.
Please do not send us confidential client information, privileged information, personal information about clients or matters, or sensitive personal information unless we specifically ask for it.
3. How we collect information
We collect personal information when you choose to contact us, suggest a tool, suggest a correction, confirm or update a vendor listing, enquire about an Enhanced listing or Sponsorship, purchase a paid listing, or otherwise provide information to us.
We may also collect limited technical information generated when you use the Website, as described below. Standard directory entries may be compiled from public information about tools, vendors and projects. That public tool or company information is not usually personal information, but contact-person details may be.
4. Website analytics and technical information
The Website may use privacy-preserving aggregate analytics, hosting logs or similar technical tools to understand overall visitor numbers, performance, security and reliability.
We do not currently use behavioural advertising, cross-site tracking cookies, or marketing pixels. If this changes, we will update this policy and, where required, provide any additional notice or consent mechanism.
Hosting and network providers may process technical information such as IP address, browser information, device information, timestamps and pages requested for security, delivery, logging and operational purposes.
5. Why we use personal information
We use personal information to operate and maintain the directory, assess tool suggestions, assess correction requests, verify vendor authority, confirm or update vendor listings, manage Enhanced listings and Sponsorships, process payments and subscription status, respond to enquiries, maintain records, protect the integrity and security of the Website, and comply with legal obligations.
We may use business contact details to communicate with vendors or submitters about a listing, correction, payment, subscription, renewal, cancellation or related administrative matter. We do not currently send marketing newsletters.
6. Anonymous tool suggestions and corrections
You may suggest a missing tool or suggest a one-off correction without providing your name or email address. If you do not provide contact details, we may be unable to follow up, check details, or tell you the outcome.
Anonymous submissions may be treated as lead information only. We may decide not to act on anonymous submissions, particularly where the correction is material, disputed, negative, affects a vendor-confirmed listing, or cannot be checked against public sources.
Vendor confirmation, Enhanced listings and Sponsorships cannot be anonymous because we need to confirm authority to act for the relevant vendor or project.
7. Payments
If you purchase an Enhanced listing or Sponsorship, payment will be processed by Stripe or another payment provider we nominate.
We do not collect or store full credit card numbers, CVCs, or equivalent payment credentials on our own Website, forms, servers, email inboxes or databases. Payment information is provided directly to the payment provider and is handled in accordance with that provider’s terms and privacy policy.
We may receive and store limited payment-related information from the payment provider, such as your name, organisation, billing contact details, transaction status, subscription status, invoice records, payment provider customer ID, and the last four digits and expiry date of a payment card where supplied to us by the payment provider.
8. Disclosing personal information
We may disclose personal information to service providers who help us operate the Website and business, such as hosting, domain, security, email, form, storage, analytics, payment, accounting and professional-adviser providers.
We may disclose information where reasonably necessary to verify or correct a vendor listing, respond to a correction or removal request, protect our legal rights, comply with law, or deal with a business transfer or restructure.
We do not sell personal information.
9. Overseas service providers
Some service providers may store, process or access information outside New Zealand. This may include providers such as Netlify, Cloudflare, Stripe, email providers, form providers, storage providers, analytics providers, and professional software providers.
Where the Privacy Act 2020 requires, we will take reasonable steps to ensure overseas disclosures comply with New Zealand privacy requirements, or we will rely on another permitted basis for the disclosure.
10. Security
We take reasonable steps to protect personal information from loss, unauthorised access, misuse, modification or disclosure. Those steps may include HTTPS, hosted infrastructure, access controls, reputable service providers, and limiting access to information to people who need it for the purposes described in this policy.
No method of transmission or storage is completely secure. Please do not send confidential, privileged or sensitive information through the Website or ordinary email.
11. Retention
We keep personal information only for as long as reasonably required for the purposes described in this policy, including directory operation, correction history, vendor confirmation, subscription management, accounting, legal compliance and dispute handling.
We may retain records of listing submissions, correction requests and vendor confirmations where needed to maintain the integrity and history of the directory.
12. Access and correction
You may ask us to confirm whether we hold personal information about you and to request access to or correction of that information. We may need to verify your identity before responding.
If we do not agree to correct information, you may ask us to attach a statement of correction to the relevant information where required by law.
13. Links to other websites
The Website links to vendor websites and other third-party sources. We are not responsible for the privacy practices, security or content of those third-party websites.
14. People outside New Zealand
The Website is operated from New Zealand and may be accessed from other countries. If you are outside New Zealand, your information may be processed in New Zealand and by service providers in other countries.
If European Union, United Kingdom or other overseas privacy laws apply to particular personal information, we will respond to requests and obligations to the extent required by applicable law.
We do not currently offer user accounts, behavioural advertising or targeted marketing to individuals in the European Union or United Kingdom. We have therefore kept this policy proportionate to the current operation of the Website rather than adopting a separate long-form GDPR supplement.
15. Changes to this policy
We may update this Privacy Policy by publishing a revised version on the Website. The revised version applies from the date stated in it or, if no date is stated, from the date it is published.
